3. Information Requested from Vendor¶

3.1 Company Profile¶
- Describe your organisation and relevant AI expertise.
- How long have you offered the requested service? What is your client portfolio?
- Describe your R&D investments and innovation plans.
3.2 Technical Approach¶
- Describe your offering for the described use case.
- Which models/versions are available? What is your update and deprecation policy?
- How do you guarantee the required uptime and latency?
- Describe your security measures (encryption in transit and at rest, access control).
3.3 Data & Privacy¶
- Are prompts and outputs used for model training? If so, how can this be disabled?
- How long is data retained after processing?
- Where is data processed and stored (data centre location)?
- Is a DPA available? Attach as appendix.
3.4 Pricing¶
- Describe your pricing model (token-based, subscription, enterprise deal).
- What are the prices at the following volumes: [fill in your expected volumes].
- Are volume discounts available? What are the tiers?
- How are price changes communicated and what is the notice period?
3.5 Support & SLA¶
- What support levels do you offer (tier 1/2/3, response times)?
- How are incidents communicated? Is there a status page?
